Do you have a family who will be transitioning soon from Part C to Part B services?  Click here to review the transition procedures from Part C to Part B for the counties that you serve.  This information is located under the Law and Regulations tab on the BTT website. 

July 5, 2017 While parents often refer to their child by a nickname, it is important that we use the child's legal name on all BTT documentation. Always verify the correct spelling and if there is a change please submit a Change of Information form to the RAU to update WVBTT Online.

MISSED APPOINTMENTS - Document the reasons for a missed visit on the Missed Appointment Documentation form and on the Correspondence/Phone Contact Log.  If the family elects to not have the visit rescheduled, document that they chose to not have a make-up visit.  

May 15, 2017 The WV State Training and Registry system, WVSTARS, is a collaborative effort across WV early childhood programs to implement a comprehensive continuum of specialized training and career mobility for all early care and education professionals. May 8, 2017 Practitioners are responsible for providing the Regional Administrative Unit (RAU) with the original hard copy of evaluations even though information may have uploaded to the Child Library on WVBTT Online. The RAU is responsible for maintaining the official early intervention record. Any documentation that is uploaded to the Child Library is also to be sent to the RAU to be filed. September 12, 2016 WV Birth to three commits to protecting the confidentiality of all personal identifying information (PII). To uphold this standard Birth to Three practitioners should not e-mail or text personal information unless it is password protected or encrypted. Remember IF you cannot make phone contact with a team member, you may utilize the “Team Note” section in WVBTT Online to communicate.
August 8, 2016 WV Birth to Three offers a monthly Lunch and Learn session via Go-To-Training. These 1 hour educational sessions are meant to share resource information with professionals and families who reside in WV. Check the bulletin board on the WVBTT Homepage for registration information.

REMINDER:  When scheduling audiological evaluations for your children please make sure that paperwork has been received at the state office prior to the child’s appointment date.  This will ensure that an authorization is in place for the service in a timely manner.

Practitioners and Ongoing Service Coordinators please remember to update your matrix every 90 days. When the Matrix is printed by the RAU to present to families, your information will not be shown. When the Matrix is presented online your Matrix will list "Availability may no longer be valid".

Camp Gizmo is a five day, hands-on camp where parents, professionals, and students learn how assistive technology can help young children (birth-8 years) with significant and multiple developmental needs. Reminder: Annual and Exit COSFs need to go to the WVBTT State Office. We recommend that the practitioner or service coordinator make a copy of the Annual or Exit COSF for their clinical files before mailing it to the State Office, in case of future audits

INCLEMENT WEATHER - There may be instances when inclement weather is significant enough to prevent scheduling or making it to a visit. Family reasons or inclement weather are not considered out of compliance for Federal reporting purposes as long as there is appropriate documentation (missed appointment documentation form)  in the child's record to substantiate these reasons. Please remember missed appointments must be made up within 90 days.

As the New Year begins, everyone's schedules become a little busier! Changes in schedules may mean more outings for families. Remember - Natural environments can be anywhere a child lives, learns and plays. Open your mind to the learning possibilities inherent in many naturally occurring situations and activities.
