How Can I Archive My Groupwise E-Mail?
GroupWise Archive
GroupWise Archive allows you to
store your e-mail messages electronically in another location
other than the GroupWise servers for safe keeping. GroupWise
Archive looks like your GroupWise Mailbox but the messages are
stored on your Y: drive. Once you configure GroupWise Archive, you
can view archived items whenever you need to. You can also
unarchive any archived item.
To
configure GroupWise Archive, follow the steps below.
It
is only necessary to configure GroupWise archive once.
1. Create a folder called GWARCHIVE
on your Y: drive. This folder will store your archived items.
2. Double-click on the My
Computer icon on your desktop
3. Double-click on your Y:\
drive to open
4.
Right-click
in the window
5. Select
New
6. Select
Folder
7. Type GWARCHIVE to
name the folder
8. Close the
window(s)
9.
Login to GroupWise
10. Select Tools from the
GroupWise menu
11. Choose
Options
12. Double-click on Environment
13. Click on the
File
Location tab
Specify the location of your
archive directory in the Archive Directory text box. (For ex.
type Y:\GWARCHIVE). You can also browse to your Y:
drive by selecting the yellow folder to the right, selecting
your Y: drive and then selecting the GWARCHIVE folder.
14. Select
O.K.
15. Close the Options box
To archive a message
1.
Right-click
on the message that you want to Archive
2. Choose
Archive
To archive a Cabinet item in a
folder, right-click on the message that you want to archive and
choose Archive. You do not have to create the
folder, it will automatically create the folder for you in
Archive. You can select multiple items at once and archive them.
To open the Archive
1. Select File from the
GroupWise menu
2. Choose
Open
Archive
To unarchive items
1. Select File from the
GroupWise menu
2. Choose
Open
Archive
3. Select the item you want to
unarchive, right-click on the message, choose
Archive
4. To return to your Mailbox,
Select File from the GroupWise menu
5. Choose
Open
Archive
Unarchived messages are returned to
the folder from which they were archived. If the folder has been
deleted, GroupWise creates a new folder in your Mailbox or
Cabinet.
To archive items
automatically
Select Tools from the
GroupWise menu
Choose
Options
Double-click on
Environment
Click on
the Cleanup tab
Select Auto_Archive After
for the item type you
want to archive (ex. Mail
and Phone or Appointment,
task, and reminder note
Specify
the number of days
after the item is delivered
or completed that you want
it to be archived.
Select
O.K.
Close the
Options box
If you use Auto_Archive,
it is still very important
to delete unwanted mail from
your main mailbox as well as
your archive.
